
Letters of Commitment
Secure your place at RSIC2025
On behalf of our host schools, The Millennium School, The Indian High School, and GEMS Modern Academy, we are delighted to invite Letters of Commitment (LoC) for the Round Square International Conference 2025, "Beyond the Dunes", which will be hosted in Dubai from arrivals on 19 through to departures on 25 September 2025.
The LoC system is designed to enable you to book places without having chosen your delegates yet, so that our hosts can have a clear idea of numbers early enough to make plans, and you have more time to select the students who will make up your delegation. LoCs will be accepted until the Conference fills to capacity, or 28 February 2025, whichever is sooner. If there is capacity, the waitlist for extra places will be released on 28 February. Delegate registration will run through to 30 April 2025.
Delegations
A standard delegation consists of six students aged 16-18 and up to two adults. More places can be requested via the waitlist. Delegations must consist of more students than adults.
Delegate Fees:
Student delegates:

USD$1,325 (students will be sharing triple rooms in the conference hotel)
Adult delegates:
-
USD $1,540 for Triple Occupancy

USD $1,800 for Twin Occupancy

USD $1,950 for Single Occupancy
All delegate fees are fixed regardless of the duration of stay (e.g., an adult delegate that participates in the first three days only and then leaves will still pay the full delegate fee as the conference budget is predicated on a fixed number of delegate places.)
The prices specified above include:

all meals throughout the duration of the conference;

Accommodation throughout the duration of the conference (in hotels);
-
all transport throughout the duration of the conference (including pick up from, and drop off to, Dubai International Airport on arrivals day and departure day);
-
all visits and activities throughout the duration of the conference.
The prices above do not include:
-
any travel up to the point of arrival at Dubai International Airport on 19 September;
-
any travel from the point of departure from Dubai International Airport on 25 September;
-
visas, if required;
-
personal spending money (for souvenirs and extra drinks/snacks);
-
personal equipment or;
-
any pre/post conference trips.
Adults will be accommodated in triple rooms as standard, sharing with other RSIC Adult delegates of the same gender. Those booking, and paying the extra fee for, Twin Occupancy will have the option of nominating who they will share with. Those adults booking single occupancy will not be asked to share a room at any point during the Conference.
Payment of Delegate Fees
You will be invoiced by the Host Schools for the number of places you have indicated on your Letter of Commitment. Invoicing will begin in the New Year, with the final invoices raised just after the LoC deadline of 28 February 2025. Details for payment will be outlined on your invoice.
How the Waitlist works
If, at the time of submitting your Letter of Commitment you are unsure whether or not you will meet the numbers for a maximum delegation (six students and two adults), you can commit to a smaller delegation, and request any places you are unsure about via the waitlist.
The list will be released on a first-come-first-served basis at the end of February 2025 as registration opens for named delegates (though you have until the end of April to register). If waitlist places are offered to your school, you will be asked to confirm that you would like to add them to your LoC.
Places requested via the waitlist are not subject to the cancellation policy until/ unless they have been confirmed. However, it is also the case that those places are not guaranteed until/ unless they have been confirmed. Should the conference fill to capacity with standard LoC submissions, it will not be possible to offer places to the waitlist, so please consider this before deciding how many places to confirm via LoC and how many to request via the waitlist.
If you would like to add places to the Waitlist you can do this when you upload your signed LoC. The electronic form that you attach your LoC to will ask whether you would like to add any places for either students or adults to the waitlist
Cancellation Policy
Please read the cancellation policy in full in the Letter of Commitment.
All cancellations and alterations to your booking are subject to this cancellation schedule:

Cancellations up until the end of March 2025 will receive a 75% refund;

Cancellations during April 2025 will receive a 50% refund;
-
From 1st May no refunds will be issued.

Where next
Risk Assessment and Planning for the Heat
A first draft Risk Assessment has been produced by our Hosts and is available on the RSIC web site HERE. This will be updated as planning progresses, and sections will be added for the different activities, including for Adventure, Service and Environmental Days, as these are confirmed onto the programme.
One of the risks identified is the likelihood of high temperatures and humidity. With this in mind, our hosts plan to adjust the programme timings so that the conference day begins later than usual, starting with a mid-morning breakfast followed by departures to schools. Keynotes and Baraza discussions will take place indoors during the midday heat. Lunch will be around 3-4pm and activities that may take delegates outside will be scheduled for the late afternoon and early evening, when temperatures are more pleasant and the sun is going down.
